Annual Club Meeting - 1/7/12

 

Our annual meeting was held at the Kriege house. It started at 1:15 PM and lasted until 3:00PM. Those in attendance included:

Club Officers

The subject was discussed very briefly. The officers for 2012 will be Walt Van Zant as president, Joe Hurtado as treasurer, and Dick Chimenti as webmaster.

 

Club Dues

The club dues will remain at $20 per member and $30 for a family. The dues for students will also remain at $1. Nobody is eligible to receive an award in any club contest unless he/she has paid their yearly dues.  All should strive to pay their dues by 2/29/12. An e-mail should be sent to club members reminding them that club dues are now payable.

 

Grand Prix

The captains for the various teams will be Aaron Lee for the open men, Scott Graham for the 60+ men, Eddie Reyna for the 70+ men, and Becki Kriege for all of the women’s teams. Walt will inquire as to whether anyone would like to take the jobs as men’s 40+ and 50+ team captains.

 

Runner of the Year Contest

The rules will stay the same. Runners will earn one point for every mile that they run plus 20 points for every club workout that they attend and run the warmup and/or volunteer to help with the workout. 3,500+ point earners will receive a gold award, 2,500+ will receive a silver award, and 1,500+ will receive a bronze award. Club members will receive 40 points for participating in the Valentine race on 2/18/12 and 40 points for participating in the club handicap race in August. Club members who help with the club workout (timing or some other duty) will receive 30 points rather than 20 points for that Saturday workout.  Also, members who compete in a Grand Prix race on a Saturday will earn 20 points.

 

Club Handicap Race

We will tentatively hold our annual handicap race on 9/3/12, Labor Day, this year. The race will start and finish in front of the Collins' home and will be followed by a breakfast. The date is subject to change if our club committee (those who attend the annual meeting) or Rich and Judy Collins disagree.  The Dammit race is scheduled for 8/11 and XC grand prix races are scheduled for 8/18, 8/25, and 9/1.  Some club members will be involved with coaching high school XC teams on the Saturdays thereafter.  So, alternate dates would most likely have to be August 4th or earlier.

 

Holy City Race

All will remain the same as last year. Bob Pickens will be the race director.  The race will be run on 6/17/12.

 

Annual Club Award's Dinner

The dinner will be held this year at the Fairbrae Swim Club on 2/18/12.  Danny Moon and Kelly Emo will be asked to be the MCs.

 

Annual Club Valentine Race

Our annual club Valentine race will be run on 2/18/12.  We will start together and hold competition as 4-man teams. The winning team will be based upon the team with the lowest total of finishing places.

 

Other Items

We discussed whether to change the club rules that club members competing for another club are not eligible to compete in the Cum Sat or Racer of the Year contests or have their marks included in the club records. Club members who have set club records while competing for the club will continue to be listed in the club records for their previous runs but not for the records set while competing for another club.  The rules just stated will remain the same for 2012.

 

We discussed the Wednesday night workouts run on the West Valley College track, beginning at 5:30PM.  These workouts consist of 12 x 400 on one week, 6 x 800 on another week, 4 x 1200 on another week, and 3 x 1600 on the 4th week of each cycle throughout the year.  Bob Pickens will be in charge of these workouts and will insure that the club clock is available for each workout.  Bob has purchased lamps that he places on one of the turns to help light the track during the winter time.

 

The club president was directed to send an e-mail to the club members, asking for a volunteer to do the scoring for the Racer of the Year contest.  This is a fairly time-consuming job.

 

We voted to add a rule to the Racer of the Year contest.  The scorer for the Racer of the Year contest will do his/her best to identify the fastest half marathon and marathon times of club members during each year.  However, it is difficult for the scorer to note all times when there are thousands of runners in a marathon/half marathon race or when the marathon/half marathon is run out of the Bay Area.  So, club members should report their times to the scorer no later than 30 days after the event.  If the time is not reported to the scorer within 30 days and the scorer has missed scoring the time, the result will not be scored in the contest.

 

Racer of the Year Contest

The following rules will be in effect for this year:

 

1.    Any runner joining the club after 7/1/12 will automatically be placed in the elite division. Runners joining the club between 1/1/12 and 6/30/12 will be placed in the elite division until we can get a good line on them.

 

     a) Most club members will be classified as to division at the annual club

        meeting.  In general, the runners rated will include those who competed in

        the Cum Sat contest during the prior year.  Those who are club members as

        of January 1 but are not classified at the annual meeting will be classi-

        fied by the club president after their first competition in the Racer of

        the Year contest.

 

2.    There will be 6 divisions for 2012 - an Elite Division (sub-35:00 10K), an A Division (35:00-38:59 10K), a B Division (39:00-41:29 10K), a C Division (41:30-47:59 10K), a D Division (48:00-51:59 10K), and an E Division (52:00+ 10K).

 

3.    Club dues must be paid in order for a score to count. A grace period will be allowed until 2/29/12.  If dues are paid after that date, then just the races run on the date of the payment or later will be included in their scoring total.

 

4.    WVJS members who compete for another club may not compete in this contest.

 

5.    The runners will include in their total score the scores from their best 8 races.

 

6.    Grand prix races will be scored as double races.  That is, if a member finishes as the top club member in his/her division, he/she will receive 2 x 25 points or 50 points.

 

7.    Runners must compete in at least 7 separate races in order to receive an award, including a plaque.  As an example, a runner might score 200 points because he/she ran in four double-point races but he/she would not be eligible for an award because he/she did not compete in 7 different events.

 

8.    If a USATF LDR championship race is held on the same weekend as a Racer of the Year race, the USATF championship race will become the designated race in the Racer of the Year contest as long as all of the championship races that day are the same distance.

 

9.    We will determine the number of gold, silver, and bronze awards for each division after we see how many competitors that we have in each division. All who compete in at least 7 races will receive at least a bronze award.

 

10.   Performances will not count in road races unless the runner is an official entrant in the race.

 

11.   WVJS members who compete for another club will not be included on the all-time lists for our various Saturday courses nor will they be counted in the Cum Sat contest.

 

12.  A club member cannot win more than one plaque for a year.  Winning the Racer of the Year plaque takes priority.  Therefore, if a runner wins both the Racer of the Year and Cum Saturday plaques, then he/she will receive the Racer of the Year plaque and the second-place finisher in the Cum Sat contest will receive the Cum Sat plaque.

 

13.  A runner’s time will not count as part of the Cum Sat contest or on the all-time list unless it is run on the date of the designated event.

 

14.  A runner can elect to be moved to a higher division but should do so early in the year so that the scorer does not have to spend a lot of time rescoring the contest.

 

15.  If there is a tie for first place in any division, the tie will be broken by comparing the performances of the tied runners in the Road and Grand Prix races included in the contest.  If one of the tied runners competes in a Grand Prix race and the other(s) does not, it will count as a win for the runner that did compete in that race.

 

16. The scorer for the Racer of the Year contest will do his/her best to identify the fastest half marathon and marathon times of club members during each year.  However, if the scorer overlooks a half marathon/marathon time and the club member who ran the time in question, does not notify the scorer of the time within 30 days of the event in which the time was run, the mark will not be included in the scoring for that year.

 

17.  Racer of the Year rules may be changed only at the annual club meeting.

 

18.   The following events will be included in the contest:

     Fastest Marathon

     Fastest Half Marathon on a USATF certified course

We voted to include the Cal Intl Marathon in the contest if it was a Grand Prix race.  It was discovered after the meeting that it was not included in the Grand Prix.
